Step 1: Form Definition

For each different form layout you have to define a blank form with a form template. At this stage, you have to mark the form fields to be recognized and determine if they will contain printed or handwritten entries, check marks or barcodes.

Step 2: Scan Forms, Process Image Files or Monitor Folders

As soon as the form template has been defined you can proceed with the processing of the filled-out forms. The pages can be scanned directly or imported from image files. Alternatively, the program can monitor a network folder and import all image files stored there by a scanner or multi-function device.

Step 3: Efficient Verification and Correction

While processing scanned forms or afterwards the contents of all form fields can be compared against the corresponding image sections and be corrected, if necessary. To guide you through this phase FormPro provides different views for values and the corresponding image sections. With only a few key strokes you can verify and correct the values of a certain form field across many records.

Step 4: Export Data and Archive Images

As soon as the data has been verified it can be exported to the final database, Excel table or CSV file. At this step, the scanned images can be archived and additional information like user name, date, time and notes can be added to the database records.

FormPro achieves all this without any special hardware. All you need is a standard Windows computer and a scanner with an automatic document feeder. This can be a traditional document scanner for the desktop or a multifunctional device.

New Features of FormPro 4

State-of-the-art technology of OmniPage 22
Compared to the recently used version 19 this results in a much more accurate recognition of handwritings and barcodes. The import of PDF files has also been improved.
Enhanced binarization of color and grayscale images
OCR works on black-and-white images internally. An increased sensitivity of the binarization process therefore leads to a better recognition of dim checkmarks and handwritten values.
Export settings divided into Storage and Export
This division ensures more clarity and makes room for new options like Prompt for file name before export and One export file per image file.

New option Convert colors to grayscales
Color images rarely provide an advantage for recognition and take up lots of memory. Especially in the 32-bit version of FormPro you can now convert color images into grayscales when opening them.
New zone feature Align evenly
Automatically arrange groups of zones with even distances. You only have to position the zones at the top left and bottom right precisely and all zones in between will be adjusted accordingly.
New zone setting Find matching value
When you define a syntax rule with a Regular Expression for a zone that may also contain other contents this option will yield the first matching value. Perfect for finding invoice numbers or date values.
New options for image file zones
The settings for image file zones have been cleaned up and rearranged. New features are the formatting of file names as hyperlinks and the export of image data in binary format.
