On this page you find descriptions of typical application scenarios for OCR software along with the best fitted products for these scenarios.

Word Excel   Scanning Documents for Further Processing in Word or Excel

To edit a printed document in a word processor or spread sheet program it is not sufficient to only scan the document. Scanning will only produce a high-resolution image copy of the document that may be displayed on the screen and printed but that cannot be modified or re-formatted.

To edit the contents of the document the image must be converted into text after scanning by using an OCR software. State-of-the-art programs like OmniPage solve this task fully automatically and even preserve the layout and all formattings of the document as well as embedded tables and graphics. [Details...]

PDF   Scanning Documents and Exporting to PDF Format

To convert a printed document into a PDF file you can scan it and convert the resulting image into a PDF file using Adobe Acrobat. However, with this method you end up with an image-only PDF taking up much more disk space as a text format. Apart from that, the document is not searchable and can only be printed with the scanner resolution often resulting in a lower quality.

With an OCR software like OmniPage you can scan the documents and save them as PDF files. Using an easy-to-use software like Nuance Power PDF (formerly PDF Converter) you can even convert existing image or document files into PDF files or convert PDF files into editable documents. [Details...]

Create questionnairies   Processing Filled-out Forms and Questionnaires

Any survey requires a questionnaire, but how to create it? Using standard office software this task can become tedious and the results often lack proficiency and do not properly utilise the full potential of survey design. Standard survey building blocks, such as multiple choice questions, comb fields, matrix questions or barcodes can not easily be created with the usual office applications. Fiddling with structure and layout can cost you large amounts of time or even discourage you from conducting your survey in the first place. Things become even worse if you need to conduct both on-line and off-line surveys at the same time.

Our most recent software product Survey⁺ bridges these gaps in creating and conducting surveys. Survey⁺ allows to create various kinds of forms and questionnaires, for paper-based surveys as well as for hosting on-line surveys. Since Survey⁺ and FormPro use the same file format, you can load form definitions from Survey⁺ right into FormPro for automated processing of filled-out paper questionnaires (see below) and spare the re-definition of processing zones in FormPro. As for digital surveys, Survey⁺'s PDF and Full Edtion allow to create fillable PDF forms, while the Web and Full Editions allow hosting online surveys through a Survey⁺ Web Account. [Details...]

Typical applications of Survey⁺:
  • Easily create forms, questionnaires and surveys
  • Web: Conduct on-line surveys, manage questionnaires and collect results
  • PDF: Distribute forms and questionnaires as fillable PDF files
  • Free: Create paper-based surveys and printable forms
  • Load Survey⁺ files in FormPro for automated processing of paper-based returns

Ausfüllen Drucken   Fill out and Print Forms

Almost daily you are confronted with pre-printed forms that have to be filled out either by hand or by using a printer. Filling out forms is tedious and time-consuming and does not meet your usual IT standards. It becomes especially annoying when you have to enter the same or similar data again and again or when the data you want to enter is stored in a database or spreadsheet and must be copied from there.

By using our software Formulator you can scan pre-printed forms and define the areas you want to fill out. These areas can be filled with text, check marks or graphics. In input mode you can then enter text, import data from a database or spreadsheet and work with formulas. The data can be printed directly into the original form or you can print the form along with the data. [Details...]

Typical applications of Formulator:
  • Filling out customs forms
  • Printing school reports
  • Printing labels

Scannen   Processing Filled-out Forms and Questionnaires

Suppose you want to distribute forms or questionnaires you created yourself in order to collect data from a specific group of persons. The forms will be filled out by hand or marked with check crosses and then returned to you. You want to process the forms in a way that the informationen contained therein can be digitally processed. For each form you want a record to be created in a database table or a line in a text file. Depending on the complexity and the number of forms this can be a time-consuming and error-prone task. Especially when the data is required in a timely fashion (e.g. at exams, polls or elections), manual data entry will soon exceed its limits.

By using our OCR software FormPro forms, questionnaires and structured documents of all kinds can be scanned in a batch and will be automatically processed within minutes. All you have to do is go through a one-time definition phase where you scan a blank form and define the areas to be processed. These can be handwriting fields, check boxes, printed text or barcodes. In the processing phase these areas will be identified and recognized using state-of-the-art OCR and ICR technology. For each form one record will be created and after the verification phase it will be written to the target database. The forms may contain any number of pages and you can even process different form types within one batch. [Details...]

Typical applications of FormPro:
  • Surveys of target groups by using questionnaires
  • Elections or ballots with immediate counting
  • Tests or examinations with multiple-choice questions
  • Processing of letters of referral
  • Evaluation of measurement reports

Integration  Integration of OCR/ICR/OMR into applications of your own

You are a software developer and currently work on an application that is to extract text from scanned documents or image files, e.g. an archiving software with the capability for full text search. If you now wanted to re-invent scanning, image file processing and character recognition you would find yourself confronted with an almost unsolvable task.

Use a developer tool like the OmniPage Capture SDK from Nuance. This SDK can be integreated seamlessly into your application and offers all the functionality you know from OmniPage. You can scan directly from within your application, open and save image files in all popular formats, modify and display images, define reading areas, conduct OCR, ICR or OMR and save the results as a text file, HTML, PDF or Word document.
